Volunteer Spotlight: John Abramson, Volunteer Coordinator, Tropic Cinema
The Tropic Cinema, South Florida's only independent non-profit multiplex, was started by the Key West Film Society, which itself begun as a group of friends who wanted to see and share independent, arthouse films...the type they simply weren't finding at other local multiplex.
Today, our Volunteer Spotlight shines on John Abramson, Volunteer Coordinator for the Tropic Cinema, who uses VolunteerSpot's online signup sheets to coordinate the theatre's volunteers.

Please tell us about your organization and your volunteer needs.
I'm the volunteer coordinator for the Tropic Cinema. With the exception of about 8 people (those of us in management), the rest of our staff is made up of volunteers, as it has been since the theatre opened its doors in 2004. Key West, being a tourist destination, has definite 'seasons'; our low season is from May through September, and our volunteer base rises and falls accordingly. Off-season, I have about 40-50 people on my roster; in season, that number may increase to 100-125. Many of our volunteers are snowbirds who live here only seasonally. The majority of those who give their time to us work inside the theatre at either the Box Office or Concessions, or act as Host (greeting people, distributing and collecting 3D glasses, monitoring the individual auditoriums, helping us keep the auditoriums neat and tidy after a showing, etc.). We also utilize volunteers for our flyer distribution each week; quite a number of businesses allow us to display our weekly movie schedules on their windows, which is a boon for us. As needed, we also ask for assistance with such tasks as stuffing envelopes, light secretarial duties, organizing, decorations, and so on. Our volunteers really are the backbone of this business!
Explain how you use VolunteerSpot to coordinate these volunteers.
For now, I've been using VolunteerSpot for those "in-house" volunteers (Box Office, Concessions, and Host). We have two shifts daily, 1:00-4:30pm, and 5:30-9:00pm. However, I'm hoping to soon add other duties to this as well (flyer distribution and such) as we head into our high season. Throughout the week, I check the schedule to see what openings remain and then send out an email to everyone, alerting them to some availability and urge them to check it out. That volunteers now have a hand in creating their own schedules really has helped me tremendously, and certainly has, I think, boosted their spirits a bit.
What’s one piece of advice you have for volunteers or their leaders out there?
I'm relatively new at being in charge of volunteers - just three months into it (and a former volunteer here myself) - but if there's anything I can say to fellow coordinators is to keep an open dialogue with your volunteers. Keep them abreast of situations. I'm big on that, letting everyone know what's going on (within reason, of course). If you reach out to them, they'll do the same for you.
Why did you decide to use VolunteerSpot?
Prior to VolunteerSpot, each week I'd type up a list of the available days/shifts/times and send them out in a mass email; naturally, this could take up quite a bit of time, and of course there was also 'the upkeep', having to stay on top of answering countless emails and keeping on top of vacations and such, which was often difficult because I'm not here at the theatre every day. My supervisors were eager for me to find an online scheduling program geared towards a non-profit organization, so I tried out a number of them before finding VolunteerSpot. I sent out a test schedule to one of our volunteers and he gave it a big 'thumbs up' so with that encouragement we decided to go with it...and it's been a huge success. Volunteers have unanimously raved about it, particularly its ease of use.

That's terrific that I can tell you more about our theatre! The Tropic Cinema was started by the Key West Film Society, which itself was begun as a group of friends who wanted to see and share independent, arthouse films, the type they simply weren't finding at our other local multiplex. They would exhibit films wherever they could: at the library, at the San Carlos (a former vaudeville and movie palace that has since become a performance venue), even, I am told, on the side of the East Martello Tower (a small fort along the Atlantic Ocean side of Key West). Through various benefactors, they raised funds to create this theatre, in what was once the home of a McCrory's 5 & 10 and, later, a carpet warehouse, and specifically designed in the Art Deco style to appear as if it were a movie palace of long ago. In addition to traditional moviegoers, we also sell various yearly memberships, which offer discounts for every show, and which go such a long way towards keeping us going along. It's not an exaggeration to say that we really have become an institution here (in the best sense of the word) and a truly beloved member of the community. (That Key West has such an overwhelming sense of community doesn't hurt! Fundraising and donations are a fact of life here.) We also open our theatre to those seeking a venue in which to hold their own fundraisers, such as the American Cancer Society, which last week held it's inaugural "Cinema & Cuisine" event, and the Songwriter's Festival, just to name two. For the Oscars we go all out, having a fete in which we may have several hundred attendees, dressed up and ready to party, with a live feed of the show in our auditoriums. As a bit of a final plug, I'd also like to mention that not only has Florida Magazine named us "Best Movie Theatre" for four years running, this year TripAdvisor.com named us "Florida's #1 Attraction", based on customer reviews, accolades which we are so very proud of! (Sorry to go on so long but as you can see, I'm a big, big fan of the Tropic.)
